What this notice covers

How we use the business contact details of people we contact, or who contact us, about our mobile coffee services for events.

What we collect

  • Name, job title and employer

  • Work email address and business phone number

  • Business address and website

  • Professional profile links (e.g. LinkedIn)

  • Notes relevant to our services (e.g. upcoming events your organisation runs)

  • Our correspondence with you, including any request not to be contacted

We do not collect sensitive information.

Where we get it

  • Directly from you

  • Your organisation's website and public business listings

  • Professional networking sites such as LinkedIn

  • Business contact data providers such as Apollo.io

  • Event, venue and trader listings

When we first contact you, we tell you where we found your details.

Why we use it and our lawful basis

To contact you about our services, answer your enquiries, provide quotes and manage bookings.

  • Legitimate interests (UK GDPR Article 6(1)(f)): promoting our services to organisations that run events. We have assessed that this does not override your rights, and we limit outreach to a small number of relevant emails with an easy opt-out.

  • Contract (Article 6(1)(b)): when you ask for a quote or make a booking.

We only send marketing emails to company and organisation addresses as allowed by the Privacy and Electronic Communications Regulations (PECR).

Who we share it with

Our service providers, who process data for us under contract: Google (email), Apollo.io (contact data), Anthropic (AI assistant used to help prepare emails), [accounting software, e.g. Xero / QuickBooks / FreeAgent]. Some of these providers may process data outside the UK. Where they do, appropriate safeguards are in place, such as the UK International Data Transfer Agreement or adequacy regulations.

We never sell your data.

How long we keep it

  • Prospect details: up to 12 months after our last contact, unless we start working together.

  • Customer and booking records: 6 years for tax and accounting purposes.

  • If you ask us not to contact you, we keep your email address on a suppression list so we can make sure we don't contact you again.

Your rights

You can ask us to:

  • Stop contacting you. This is your absolute right, so just reply "no thanks" or email us.

  • Give you a copy of your data.

  • Correct it.

  • Delete it.

  • Restrict how we use it.

  • Object to how we use it.

We will respond within one month.
